Collaboration Rooms

The laptop-on-the-table meeting room is where hybrid goes to die - someone's always squinting, the audio's always rough, and remote people are second-class. We design, deploy, and manage certified Microsoft Teams Rooms sized to each space, so joining a meeting is one touch and the room runs itself.

Next step

Ready to scope Collaboration Rooms for your business?

What’s included

Scope that’s actually defined.

Every inclusion below is documented, delivered, and renewable under our standard agreement. No surprise scope. No silent exclusions.

Room design and certified hardware

Rooms sized from focus to large, with certified Teams Rooms hardware - Logitech, Poly, Yealink, Neat - specified for the space rather than guessed. Front-of-room displays, intelligent cameras with speaker tracking, and content cameras for the whiteboard.

One-touch join

Teams Rooms systems that show the day's meetings on the console and join with a single tap - no laptops, no cables, no dialling in codes.

Resource accounts done right

Each room set up as a bookable resource account with a non-expiring password and a dedicated Conditional Access policy - because room accounts are userless and break if you apply your standard staff policies to them.

Licensing that fits

Teams Rooms Basic where a handful of rooms is all you have (it's free, capped at 25 per tenant), Pro where you need Conditional Access, management, and analytics. We'll tell you which line you're on and why.

Central management

Room health, automatic updates, and remote diagnostics through the Teams Rooms Pro management portal - so a dead room is a ticket we already saw, not a meeting that fell over.

What’s not included

The boundaries, stated up front.

Knowing where a service stops matters as much as knowing what it covers. Here’s what sits outside this engagement - so there are no awkward surprises later.

Cabling, mounting, and electrical work

We specify and configure the AV; the structured cabling, display mounting, and power are delivered by licensed trades we coordinate, not by us directly.

Per-room Microsoft licences

Teams Rooms Pro or Basic licences and the room hardware are billed at cost. We'll right-size them - Basic is free up to 25 rooms - but the licence itself isn't inside the service fee.

Non-certified or consumer gear

We deploy certified Teams Rooms systems because they're supportable and update centrally. We won't take responsibility for a webcam-and-soundbar rig we didn't specify.

How we deliver

A sequence you can hold us to.

Every engagement runs the same four steps. You always know which one we’re in and what comes next.

  1. 01

    Scope

We map your current state and agree exactly what's in and out, in writing, before any work or invoice. No surprise scope, no silent exclusions.

  2. 02

    Plan

A documented plan with milestones, owners, and success criteria you can hold us to - so you know what good looks like before we start.

  3. 03

    Implement

We do the work with change control and your sign-off at each gate. You see progress against the plan, not a black box.

  4. 04

    Operate

Ongoing management, published performance, and a quarterly review that keeps the work honest and the roadmap current.

Frequently asked

The questions we get most.

Can't we just use a laptop and a TV?
You can, and it's why your hybrid meetings are frustrating. A certified Teams Room gives you proper room audio, a camera that frames whoever's speaking, one-touch join, and a system that's managed and updated centrally. The difference is obvious the first time the board uses it.
Basic or Pro licensing?
Basic is free and fine if you have a few rooms and don't need Conditional Access - but it caps at 25 licences per tenant and leaves out management and analytics. The moment you want Conditional Access on the room accounts, or central management across more than a handful of rooms, you're on Pro. We'll map it to what you actually have.
What hardware do you use?
Certified Teams Rooms systems matched to the room - Logitech, Poly, Yealink, or Neat depending on size and budget. We specify against Microsoft's certified hardware list rather than locking you to one brand, because the right kit for a focus room isn't the right kit for a boardroom.
Do the rooms need their own network setup?
They benefit from it - a stable, well-designed network is what stops meetings dropping. That's our Network & Comms service; we'll join the two up so the room and the connectivity behind it are managed together.
